IMPORTANT DATES:If you missed the registration deadline, please contact the Registrar, Erin Madden, at registrar@whalers.org to inquire about space. Some levels may be at capacity and cannot accept any more registrations. If you are a new or returning player to DWMHA, you can register your player online using GrayJay Pay***NEW PLAYERS - If you are trying to register a new player, please complete the following steps
- REGISTRATION OPENING DATE: August 1, 2025 at 9:00am
- EARLY REGISTRATION CLOSES: August 31, 2025 at 11:59pm
- SEPTEMBER 1, 2025: REGISTRATION INCREASES BY $50
- REGISTRATION CLOSING DATE: October 31, 2025
- No player with an outstanding balance from the 2024-25 season will be able to register until that has been paid.
Once the above steps are completed, a profile for your player will be created in the Hockey Canada Registry (HCR) which will be linked to the player in your GrayJay Pay account, and will allow you to complete registration.
- Step 1: Create an account with GrayJayPay (https://grayjaypay.ca/user/register/)
- Step 2: Add your player(s) as a family member to your account - NOTE - DO NOT create the account under your player's name, you are the account holder.
- Step 3: Add Dartmouth Whalers Minor Hockey Association to the ‘My Organizations’ tab
- Step 4: Email Erin Madden (registrar@whalers.org) a copy of your player's birth certificate to verify age and a copy of your driver's license to verify address
** NEW TO HOCKEY, a profile must be created in HCR before you can register in GrayJay. Click HERE to create your account.
Transfers will still have to be moved to the Whalers registration database before you can register online. If you have moved into the area, begin the registration process online and you will be prompted to complete a transfer form (HERE ) at a certain point.
U15-MAJOR / HIGH SCHOOL / U16-AAA / U18 MAJOR TRYOUTS:If your player is trying out for any non-DWMHA team, we encourage you to still register as usual. Select 'offline payment' at checkout to complete your registration.
U18 Overage Player Application**For U18 players that are overage but still attending high school, please contact registrar to complete the overage form. A letter from the school stating that they are registered for the 2025-2026 school year will also be required and the following form must be completed and sent to registrar@whalers.org
Over-Age Player Application - Midget
***NOTE - If you have credits that need to be applied to your account (i.e. 50/50 or credits from the 2024-25 season) these will be applied post registration. If you are not sure about any credits, please contact the Treasurer, Melissa Ruginski, at treasurer@whalers.org. The Hockey Canada Registry is still your source to review player/coach certifications and register for clinics as usualDWMHA will have 1 registration method.GrayJayPay - This will be a similar process that you have experienced previously
All registrations are reviewed and approved by the association registrar. If a registered player is determined to reside outside the DWMHA Boundary, the parent will be notified and registration will be cancelled/refunded. Payment plans by credit card and E- transfer are available through GrayJay Pay. You will have options as follows:NOTE - GrayJayPay does not automatically debit your card for payment. It is up to you to login and make a payment on your account. GrayJayPay will however send email reminders of upcoming payments and your current account balance. If you send an E-Transfer, the treasurer will then manually apply the payment to your account balance.

Family Discounts
- Initial payment - dependent based on the level
- Payment #2 - September 30th
- Payment #3 - October 30th
- Payment #4 - November 30th
DWMHA is continuing its family discount program for membership. Our discounts are as follows:**Multiple Player discount $75 discount for each player if three or more players are registered with Dartmouth Whalers on one invoice. Players must be on one invoice registered at the same time to receive the discount.
NOTE - Tryout fees are not included in the discount
NOTE - All players must be registered with DWMHA in order to receive the discount. Players registered with non-DWMHA programming do not qualify. Families are to notify Erin Madden, registrar@whalers.org to receive their discount or to apply the discount to a player registrationRefund PolicyDWMHA has a detailed refund policy (subject to change annually)Any refund requests must be submitted in writing via email to the Registrar at registrar@whalers.org. The refund request must clearly state the reason for the request and the extent of the refund will depend on the date that the written request is received (unless otherwise specified). Refunds involving e-transfer payments will be issued after the payment has been cleared through DWMHA's financial institution (less any applicable administrative fee).
Refunds involving credit card payments will be processed back onto the credit card used for registration after DWMHA has received notification of the approved credit card payment from the credit card processing system (less any applicable administrative fee).Refunds will only be provided for the following circumstances.
- Voluntary withdrawal request
If a player is requesting a voluntary refund (to play other sports / pursue other interests), they will be eligible for a prorated refund up until December 31st of the season, there will be no refunds after December 31st- Non-Voluntary withdrawal request
If a player is requesting a non-voluntary refund (relocation, season ending injury, medically unfit to play) will receive a pro-rated refund at any time during the season.Important items to note:
- Withdrawal due to Medical Reason
If an illness or injury (supported by a physician's note) prevents the player from participating for the remainder of the season in any program for which they have enrolled, a proportion of the fees will be refunded upon request. Following the deduction of any administrative or other applicable costs that may apply, the refund will be pro-rated according to the duration of the season remaining after either the date the written request is received or the date of the illness / injury as per the physician's note.
- All approved refunds will be based on the pro-rated number of weeks remaining in the season as a percentage of the total number of weeks at the time of refund request.
- NO REFUNDS will be processed for any period of time in the season if a player is ill, injured or suspended from playing.
- Refunds will not be processed until all team fees are paid in full and DWMHA jerseys and/ or equipment have been returned in good condition.
- Refunds after October 15th will not be refunded the $72 Hockey Canada Insurance fee.
- All refunds will be subject to a $10 admin fee.
- Registration refunds do not apply to conditioning camps, tryout fees, team fees or development sessions.
- Players in U7 and U9 divisions are eligible for a full prorated refund at any time during their first year of registration.
- There is no refund for retroactive requests or missed sessions for any reason.
- Any requests for exceptions to be made to the refund policy must be approved by the DWMHA Executive board of Directors.
